Privacy Policy

1. Who We Are

Potluck Planner is an event coordination service for hosts and guests. Questions or requests about your data can be sent to support@potluck-planner.com.

2. Data We Collect

We collect only what is needed to provide the service:

  • Account information — name and email address when you sign up as a host.
  • Phone number — optional, collected only if you opt in to SMS notifications.
  • Household and event data — event details, RSVP responses, dish contributions, and household size you enter while using the app.
  • Dietary restrictions — allergen and dietary information you voluntarily declare for safety matching purposes.
  • Payment information — processed directly by Stripe. We store only your Stripe customer ID and subscription status, never raw card numbers.
  • Usage data — standard server logs (IP address, browser type, pages visited) for security and debugging.

3. How We Use Your Data

We use your information to:

  • Operate and improve the Potluck Planner service.
  • Send transactional emails (event invitations, RSVP confirmations, contribution assignments) and event-activity reminders. These are part of the service and are sent whether or not you opt in to marketing below.
  • Send occasional product and re-engagement emails (for example, a reminder to finish setting up a paid feature) only if you opt in. Every such email includes a one-click unsubscribe link, and unsubscribing never affects the transactional emails above.
  • Send SMS reminders when you have opted in and the host has enabled SMS for an event.
  • Process payments through Stripe.
  • Match dietary restrictions to dish contributions for safety purposes.

We do not sell your personal data to third parties. We do not use your data for advertising.

SMS notifications are sent only with your explicit opt-in consent. By opting in, you agree to receive up to approximately 2 messages per event from Potluck Planner. Message and data rates may apply. To opt out at any time, reply STOP to any SMS you receive. To opt back in, reply START. For help, contact us at support@potluck-planner.com.

6. Data Retention

We retain your data for as long as your account is active. If you request account deletion, we will delete your personal data within 30 days, except where we are required to retain it for legal or financial compliance purposes (such as transaction records).

7. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data (right to erasure).
  • Opt out of SMS communications at any time by replying STOP.
  • Lodge a complaint with your local data protection authority (GDPR / EU users).

8. Cookies

We use a small number of first-party cookies to run the service — we do not use third-party advertising cookies. These are:

  • A host session cookie that keeps you signed in once you log in.
  • A guest access cookie that lets guests who joined via an invite link stay signed in to that event without creating an account.
  • An analytics cookie (PostHog) that helps us understand how the product is used and catch errors. It may include session recording, but all text you type is masked before it's ever recorded — we don't capture what you type into any field.

If you are visiting from the EU, EEA, UK, or Quebec, we do not set the analytics cookie at all and session recording is disabled — analytics run in a cookieless mode that stores nothing on your device. We also set a small cookie recording only whether this cookieless mode applies to you, so it works on your next page load.

9. Changes to This Policy

We may update this policy from time to time. When we do, we will revise the effective date at the top of this page. Continued use of the service after changes constitutes your acceptance of the updated policy.
